Privacy Policy
Last updated: October 17, 2026
This Privacy Policy explains how ApexMind Global (“ApexMind Global,” “we,” “us” or “our”) collects, uses, shares and protects personal information when you visit apexmindglobal.com (the “Site”) or contact us through it. We have tried to write it in plain English. If anything is unclear, please contact us.
Who we are
ApexMind Global provides customer support outsourcing and business process outsourcing services to businesses. We operate from offices in the United States and India:
- United States: 30 N Gould St, Sheridan, WY 82801, United States
- India: Tower B, Bhutani Alphathum, Sector 90, Noida, UP 201305, India
For personal information collected through this Site, ApexMind Global is responsible for deciding how that information is used (sometimes called the “controller”).
Scope of this policy
This policy covers information collected through the Site and through enquiries you send us as a result of visiting it. It does not cover personal information that we process on behalf of our clients when we deliver outsourced services. That information is handled under the written agreement with the relevant client and the client’s own privacy notices. If you are a customer of one of our clients, please contact that business about its privacy practices.
Information we collect
Information you give us
When you complete an enquiry, consultation or quote form on the Site, we collect the details you choose to provide, which may include:
- your full name, work email address, company name, company website and phone number;
- your country or time zone;
- business details about your enquiry, such as the service you need, your current monthly contact or call volume, preferred support coverage, the number of agents you are considering and your message or requirements;
- your confirmation, through the consent checkbox, that you agree to be contacted about your enquiry.
The demo request form on our Hybrid AI + Human Call Center page collects similar information: your name, company website, work email, phone number, monthly call volume and requirements.
If you email or call us directly, we receive the information included in that communication, such as your contact details and the content of your message.
Please do not include sensitive personal information (for example health, financial account or government identification details) in form messages. Our forms are designed for business enquiries only.
Information collected automatically
When a form is submitted, we also receive the address of the page it was sent from and a subject line generated from the service you selected. Forms include basic anti-spam checks (a hidden field and a timing check) and, if enabled, a security check provided by a third-party anti-bot service, which may process technical information such as your IP address and browser characteristics to confirm that you are not an automated program.
If, and only if, you accept analytics cookies in our consent banner, we use Google Analytics 4 to collect information about how the Site is used — for example pages viewed, approximate location derived from your IP address, device and browser type, referring website, and interactions such as clicks on call-to-action buttons, phone and email links and successful form submissions. We do not use this information to identify you personally. See the cookies section and our Cookie Policy for details.
Like most websites, the servers that host the Site and the providers that deliver its fonts and scripts may automatically receive standard technical information (such as IP address, browser type and the date and time of a request) when your browser loads a page.
How we use information
We use the information described above to:
- respond to your enquiry, arrange a consultation or demo and prepare a quote or proposal;
- communicate with you about the services you asked about;
- manage our business relationship with you and your organization if you become a client;
- understand how the Site is used and improve its content and performance (only where you have accepted analytics cookies);
- protect the Site and our forms against spam, fraud and misuse;
- comply with legal obligations and enforce our Terms of Use.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Legal bases for processing
Where laws such as the EU or UK General Data Protection Regulation apply, we rely on the following legal bases:
- Steps before entering a contract / contract performance — to respond to your request for a consultation, quote or demo and to deliver agreed services.
- Legitimate interests — to run and secure our business and the Site, respond to business enquiries and keep appropriate records, where those interests are not overridden by your rights.
- Consent — for analytics cookies, and to contact you about your enquiry where consent is required. You can withdraw consent at any time.
- Legal obligation — where we need to keep or disclose information to comply with the law.
How information is shared
We share personal information only as needed for the purposes above, with:
- Form-delivery providers. Form submissions may be processed by a third-party form-delivery service, which receives the content of the form and delivers it to us by email. If no such service is configured, submitting a form opens your own email application with the enquiry pre-filled, and the message is then sent by your email provider when you choose to send it.
- Email, hosting and IT providers that host the Site, our email and the business tools we use to manage enquiries.
- Google, as the provider of Google Analytics (only if you accept analytics cookies) and Google Fonts. Fonts are loaded from Google’s servers, which means your browser sends a request — including your IP address — to Google when a page loads.
- Anti-spam or security providers, where enabled, to protect our forms.
- Our team across our US and India offices, who need the information to respond to you.
- Professional advisers and authorities, such as lawyers or accountants, or where disclosure is required by law, court order or to protect rights, property or safety.
- A successor business, if we are involved in a merger, acquisition or sale of assets, subject to this policy.
Our service providers are permitted to use personal information only to provide services to us and in line with their own privacy terms and applicable law.
Cookies and browser storage
The Site uses a small amount of essential browser storage to work properly — for example, to remember your cookie choice (stored in your browser’s localStorage under the key apx-consent) and to manage page transitions and form status for the current visit (stored in sessionStorage). Google Analytics cookies are set only if you accept analytics in the consent banner. You can change your choice at any time using the “Cookie settings” link in the footer. Full details are in our Cookie Policy.
Data retention
We keep personal information only for as long as it is needed for the purposes described in this policy:
- Enquiries that do not lead to a business relationship are generally kept for as long as reasonably necessary to respond and follow up, and then deleted or anonymized unless we need to keep them for legal reasons.
- Information about clients and their contacts is kept for the duration of the relationship and afterwards for the period required for legal, tax, accounting or dispute-resolution purposes.
- Analytics data, where collected, is kept according to the retention settings configured in Google Analytics.
You can ask us to delete your enquiry information at any time (see your privacy rights).
Security
We use reasonable administrative, technical and organizational measures designed to protect personal information against loss, misuse and unauthorized access — including restricting access to people who need it, using reputable service providers and serving the Site over an encrypted (HTTPS) connection. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security. Please contact us promptly if you believe your information has been compromised.
International transfers
ApexMind Global operates in the United States and India, and our service providers may process information in other countries. This means your personal information may be transferred to, stored in and accessed from countries other than the one in which you live, including the United States and India, where data protection laws may differ from those in your country. Where required by applicable law, we take appropriate steps to protect transferred information, such as using contractual safeguards with service providers.
Your privacy rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access — to ask whether we hold personal information about you and to receive a copy;
- Correction — to ask us to correct inaccurate or incomplete information;
- Deletion — to ask us to delete your personal information;
- Objection and restriction — to object to, or ask us to limit, certain processing, including processing based on legitimate interests;
- Portability — to receive certain information in a commonly used format;
- Withdrawal of consent — to withdraw consent at any time, without affecting processing that took place before withdrawal;
- Opt-out rights — under certain US state privacy laws, to opt out of the sale or sharing of personal information or targeted advertising. We do not sell or share personal information in this way.
Residents of the European Economic Area, the United Kingdom and certain US states and other jurisdictions have rights under their local laws. To exercise any of these rights, email usa@apexmindglobal.com. We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law. You may use an authorized agent where the law allows. We will not discriminate against you for exercising your rights. If you are not satisfied with our response, you may have the right to complain to your local data protection authority.
Marketing communications
Submitting a form allows us to contact you about your enquiry. If we send you any further business updates, you can opt out at any time by replying to the message or emailing us, and we will stop. Separately, where our outbound or lead-qualification services involve contacting people on behalf of clients, those campaigns are run in line with applicable calling, consent and do-not-call requirements.
Children’s privacy
The Site is intended for business users and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
Third-party websites
The Site links to third-party websites and services, including our profiles on LinkedIn, Instagram, Facebook and YouTube. When you follow those links, the third party’s own privacy policy and cookies apply. We are not responsible for the privacy practices of those websites, so please review their policies.
Changes to this policy
We may update this Privacy Policy from time to time, for example when we change the tools we use or when laws change. The “Last updated” date at the top shows when it was last revised. Where changes are significant, we will take reasonable steps to make them clear on the Site.
